You must have Clinical User, Clinical Assistant, or Patient Viewer permissions to perform these tasks.

This help topic describes functionality that may not be part of the feature set in use at your company.

Manage Data Card Utilities

Some Philips Respironics' therapy devices use an SD card to store patients' therapy data. Trilogy Evo devices use USB drives. Users can choose from several types of SD card readers/writers from Philips Respironics. Refer to the instructions included with the SD card software for information on setting up a SD card reader/writer.

When using Care Orchestrator to upload SD cards or USB drives, the Data Card Utilities (DCU) Server must be installed on an end user's computer. The Care Orchestrator web application communicates with the DCU Server using an HTTPS (secure) connection. DCU Server reads card data from SD Cards and transmits the data to Care Orchestrator for processing and needs to make direct network connections in order to operate correctly to transmit data, check certificates, and authenticate users. 

Note: Be sure to clear the memory of any previously used therapy devices, modems, or media, prior to reassigning them to other patients. Consult the documentation included with the therapy device or modem for instructions on clearing its memory. Refer to Clear SD Card or USB Drive to use the Data Card Utilities to clear therapy data and prescription information from media.

Transfer Media to Care Orchestrator

To transfer therapy data from media (SD card or USB drive) into Care Orchestrator:

  1. Insert an SD card into the reader/writer and connect the SD card reader/writer to your computer.

  2. Click on the Data Card Utilities link in the Action Panel.
    The Data Card Utilities window displays.

    Note: When you attempt to use the Data Card Utilities in Care Orchestrator, you will be prompted to install the latest version of Data Card Utilities if you do not have it installed. When a mandatory upgrade is required, the Remind me later button will be disabled.  Follow the on-screen instructions to download and install the latest version of Data Card Utilities.

    If the patient information on the card matches the current patient, a Download Therapy Data button displays. A Not the right patient? link is also displayed so you may assign this information to another patient. After clicking the Not the right patient? link, you will be prompted to choose an existing patient within Care Orchestrator or click the + Add Patient button to add a new patient to the system.

    If the serial number on the media is currently assigned to another patient that the current user can access, you are given several options. Download without assigning will download the data to this patient, but not assign the device. Download to existing patient will download the data to the existing patient. If none of these are desired, click Choose a different patient to add a new patient or search for another existing patient.

Note: When no therapy data for the device is available on the patient record and the number of days with download data exceeds 180, options are provided to improve download times. For data downloads between 180 days and 360 days, you can choose between 180 and All. For data downloads with more than 360 days, you can choose either 180, 360 or All.

Note: If enabled by your organization, physicians and clinical users not assigned to a patient's care team can be granted temporary patient access via therapy data downloads. When the feature is enabled, the following message is displayed: This patient is not assigned to you. For temporary access, you must acknowledge the disclaimer that explains the data may contain patient demographics and treatment information. On the next screen, you can download the therapy data.

  1. (Optional) Click the Erase card after download check box if you want to erase the card after the therapy data transfers to Care Orchestrator.

    Note: Be sure to clear the memory of any previously used therapy devices, modems, or media, prior to reassigning them to other patients. Consult the documentation included with the therapy device or modem for instructions on clearing its memory.

  1. Click the Download Therapy Data button to apply the compliance data from the media to the selected patient. A confirmation message displays upon completion. Media can be removed after the Data Card Utilities indicates that the information has been saved to Care Orchestrator.

Note: If waveform data is available, a Waveform option is available in the template pull-down menu. The date range for the report will be limited to the most recent day with waveform data.

 

View SD Card or USB Drive Information with No Patient Access

Clinical users, physicians, and other Care Orchestrator users may need to view patient device media (SD card or USB drive) data immediately, even if access between a patient and clinical user / physician has not been established. Care Orchestrator allows both internal and external users to view a patient's device media data.

To view a patient's media without established access:

  1. Insert media into your computer.

  2. Click on the Data Card Utilities link in the Action Panel.

  3. If Care Orchestrator detects a matching device serial number for an existing patient, but you don't have access to the patient within your organization (internal user), the following message appears: The serial number is already assigned. You do not have access to this patient within your organization. If an existing device serial number is detected for a patient outside your organization (external user), the following message appears: The serial number is already assigned. Your organization does not have access to this patient. External authorization is required.

  4. For both types of cases (both internal and external authorization), you can click the Add New Patient button . Enter the required information (First Name, Last Name, Birth Date, Setup Date)  to view patient's media.

Note: Any patient created in this manner will not have equipment assigned, and the patient's data will not sync with their original therapy data. The user (clinical user, physician, etc.) who creates a patient is automatically assigned to the Care Team with unauthorized access.

Note: Any patient created in this manner automatically generates a Patient Record Duplicated task.
